Join our HR team for our regional Shared Services Hub located in Beijing. We are looking for HR Administrator to join our growing Shared Services Centre. Reporting into an HR Shared Services Team Lead, role holders will provide HR Administration Services and support to our employees. This role demands both a high level of accuracy and systems ability and also the ability to communicate effectively in written and verbally.
1. Input, update and maintain candidate related data in a timely manner with a strong eye-for-detail.
2. Own complex cases, coordinate with upstream and downstream teams as necessary to deliver quality results.
3. Work closely with global process stakeholders to improve efficiency and effectiveness of the processes. Ensure necessary steps are taken to prevent defects while working on process enhancements.
4. Maintain, manage and regularly audit all digital & physical personnel files.
5. Partner with diverse HR teams, provide support and process transactions to deliver a top-notch day one experience to new hires.
6. Take ownership to communicate effectively with high degree of customer focus to explain and resolve queries and concerns. This could be via email, phone and chat/instant messaging.
7. Carry out audits and checks on data changes to ensure accuracy and adhere to strict confidentiality standards.
8. Identify bottlenecks, perform root cause analysis and trouble shoot issues.
9. Ensure service level commitments and quality standards are met.
10. Support and train new hires, involve in audits and reviews of others work.
Basic qualifications
1. Bachelor’s degree plus 2+ years of relevant work experience or an advanced college education in related field (Human Resources, Business Administration, Psychology, Industrial Education or Others).
2. Computer literacy - Intermediate to Expertise level in Excel, Word, Outlook and switch between various software’s used by the company.
3. Flexibility to work on a shift schedule.
4. Ability to communicate effectively both in verbal and written form.
5. Proficient Japanese language skills
Preferred qualifications
1. 2-5 years of work experience in HR/HR Shared Service Center/ similar role preferred.
2. Background or experience in working with HR processes, systems or tools. Experience working with KPI’s and SLA’s.
3. Ability to work in international teams where team members are in different locations and belong to different cultures.
4. Ability to prioritize and adapt to the work and responsibilities in a fast-paced and changing environment.
